Leads
Leads is where new inquiries come in: people interested in a property or asking for a valuation who aren’t contacts yet. You follow them up and convert the good ones into contacts.
Where do leads come from?
Section titled “Where do leads come from?”- Website: a visitor fills in a form on your agency’s website. The Type shows what they asked for: Property enquiry, Visit, General contact or Valuation. A valuation request becomes a Seller lead; the others become Buyer leads.
- Manual: you add a lead yourself, for example after a phone call.
The Source column shows where each lead came from.
Use the leads list
Section titled “Use the leads list”- Go to Leads.
- By default the list shows Open leads: everything with status New or Contacted.
- Search with Search by name or email…, or filter by status (for example All statuses) and by type (Buyer or Seller).
- Click a name to open the lead.
A lead with status New shows how long it has been waiting, for example 3 h waiting. The label turns orange after 4 hours and red after 24 hours. You see right away which inquiry needs an answer first.
Refused leads are at the bottom, in the collapsed Archived section. Click it to show them. If your search term or filters find nothing, click Clear filters.
What the statuses mean
Section titled “What the statuses mean”| Status | Meaning |
|---|---|
| New | The inquiry has arrived and hasn’t been followed up yet. |
| Contacted | You’ve already been in touch with the person. |
| Converted | The lead was converted to a contact. You can no longer edit the lead. |
| Refused | You’re not following this lead up. It’s under Archived. |
Follow up on a lead
Section titled “Follow up on a lead”In the list, an open lead has one button with the logical next step: Mark contacted on a new lead, Convert to contact on a contacted lead. A new lead also has an icon next to it to convert right away. Refuse is always an icon (the X). Refuse sets the status to Refused. You confirm first.
On the detail page, the Next step block helps you along:
- Open the lead. Under Next step you read what to do now, for example Reply within 4 hours on a new lead or Seller lead: plan a valuation on a valuation request.
- Click Reply by email to write a reply. You get a sample email you can edit before you send it. Or click Call.
- Once you’ve spoken to the person, click Mark contacted. If you send an email reply to a new lead, this happens by itself.
- Then click Convert to contact (see below).
If the inquiry was about a property, you see that property’s name and address. Click it to open it.
On the detail page you can also add to the lead’s details, such as a buyer’s Search criteria or a seller’s Property address. Then click Save.
Convert a lead to a contact
Section titled “Convert a lead to a contact”- Open the lead, or find it in the list.
- Click Convert to contact.
The result: Proppeteer creates a new contact and opens it. A buyer lead becomes a Buyer contact, a seller lead a Seller contact. Name, email, mobile and notes carry over. If the inquiry was about a specific property, the contact is linked to that property too. A buyer’s search criteria go into the contact’s Free-text criteria.
The lead now shows a View contact button.
