Recommended next steps

Proppeteer knows the stage, the mandate and the dates of every dossier, and suggests the next step at the right moment: request the documents after the mandate, confirm the deed date, send the candidate list. You don’t forget anything, even when you follow up on twenty dossiers at once.

  • On the property: on the Details tab, in the Lifecycle block, under Recommended next steps.
  • In Tasks: the Suggested section shows the recommendations for you and those for nobody in particular, grouped in Overdue, Today, This week and Later.
  • On the dashboard: your Today list shows, under Suggested, your recommendations that are due today or earlier.
  • After a move: when you move a property to another stage, Proppeteer immediately shows the Suggested next steps for that stage.
  • On the property board: a card shows how many next steps are open.

A few examples:

Stage or moment Example recommendation
Prospecting Plan a valuation or intake visit with the owner. Prepare the brokerage mandate.
For sale / For rent Request the required documents. Plan the photographer. Write the listing description. Publish on the website and portals. Send the monthly seller progress report.
After sale / After rental Send the compromis and documents to the notary. Suspensive condition expires: confirm financing. Confirm the deed date. Deed tomorrow.
Closed Thank the owner and ask for a review or referral. Commission invoice.
Mandate Cooling-off ends. Mandate ends within 30 or 7 days. Mandate document missing. Client identification incomplete. Send the candidate list.

Important recommendations get the Important label. A recommendation disappears on its own once it is no longer needed, for example when the document has come in.

  1. Click the recommendation’s button:
    • Accept for a task. Adjust the Task and the Due date if you like, and click Add task.
    • A button such as Prepare mandate, Request documents, Write report or Candidate list opens the right dialog or tab. You finish the step there yourself.
  2. Or click Snooze and choose Tomorrow, Next week or Pick a date. The recommendation comes back on that day.
  3. Or click Dismiss and optionally give a Reason. A dismissed recommendation does not come back for the same occasion.

After a move to another stage, the suggested tasks are already checked. Uncheck what you don’t want and click Add tasks (for example Add 3 tasks). Choose Later if you don’t want them now. They simply stay with the recommendations.

An owner or admin can turn on AI signals in the settings. It is off by default.

Within AI signals, an owner or admin can also turn on Stale dossier nudge (with AI talking points). That one is off separately. When nothing happens for a long time with a property in Prospecting or For sale / rent, Proppeteer suggests calling the owner, with a few talking points from the latest notes.

Owners and admins go to Settings › Recommendations. There are three packs:

Pack What it suggests Default
Lifecycle playbooks The standard steps per stage On
Mandates Cooling-off, end date, documents, identification and lijstbeding On
AI signals Follow-ups from notes and calls, and the stale dossier nudge Off

For each pack you turn the whole group on or off. For each recommendation you can:

  • turn it on or off on its own
  • change the Offset in days, for example how many days after the start of marketing you want to request the documents
  • choose who it is for under Assign to: Responsible agent, Who moved the stage, Author of the note or Nobody (everyone)
  • go back to the original setting with Reset to default
